Lebanon Extended Day Program (MLEDP) is seeking a Human Resources Assistant who will work 20-25 hours per week and provide administrative support to functional areas of HR.
Duties include assisting with employee on-boarding, ensuring completion of new hire paperwork, tracking employee credentials for licensing, sending employees notices for overdue items, general employee relations and department functions.
This position will support the agency administrative needs and provide help with administrative special projects.
Organization/General Job
Responsibilities:
Assists with on-boarding, preparation of new hire packets, and ensures paperwork is completed accurately.
Contacts staff about incomplete information in a courteous and timely fashion.
Responds in a timely manner to all inquiries.
Prepares, maintains and monitors employee active & terminated files, assuring accuracy, compliance with all applicable regulations and confidentiality.
Maintaining and/or distributing various Human Resources related materials including benefit information, summary plan descriptions, employee policy manuals, etc.
Assists Executive Director (ED) in licensing requirements, tracking staff credentials and updating licensing center books.
May assist with phone screens with applicants for vacant positions that recruiter(s) are working to fill.
Maintains database of employees and process of all PAF's including, new hire information, employee change requests, status and pay rate adjustments, and compiles reports from database as needed.
Maintains and monitors all staff document expirations (Physicals, Clearances, Trainings, etc), notifies and reminds staff of upcoming expiration dates.
Track 30/60/90 day interviews and notify appropriate personnel of due date.
Send employee notification of benefit eligibility and process enrollment paperwork.
Responds to 3rd party requests for information including verification of employment Tracks in house trainings (emergency plan, fire safety, water safety, CPR/First Aid and annual in house all staff training).
Provides superior customer service functions by answering employee requests and questions.
Coordinates HR projects as requested (training events, surveys, annual dinners) Performs clerical functions as needed, i.

, photo copying, faxing, filing, etc.
Service Delivery:
Fields questions via calls, emails or stop ins from staff in a professional and correctly informative manner.
Send email reminders to staff about missing or overdue paperwork.
Provides reminders to for 30/60/90 day interviews and benefit enrollment eligibility.
Support Services Process and prioritize requests from staff on a daily basis Assist in keeping the website up to date and suggest new information to be posted as needed.
Provide reports to ED as requested regarding staff recognition awards, birthdays, work anniversaries, etc.
Assist as needed to organize annual in house training.
Communication Communicates clearly both verbally and in writing.
Provides sufficient rationale to staff questions and informs ED of inquiries as needed.
Keeps ED informed of important inquiries from staff.
Understands and adheres to agency policies and procedures.
Composes/proofreads/edits documents such as letters, emails, and memos.
Able to relay/redirect complete and accurate messages to appropriate persons.
Keeps ED informed about progress on projects and informs of problems; avoids surprises.
Is proactive - identifies what needs to be done and takes action before being asked or required to.
Offers suggestions for improvement.
Actively participates in meetings- sharing suggestions.
Applies sound judgement when responding to requests and dealing with confidential information.

Qualifications AA degree in HR, Communications or business -related field preferred.
HS diploma with related experience accepted.
